Welcome to the School Jotter mobile app! This app is provided by your school to give you a convenient way to view school news, events, and important updates directly on your mobile device.
This Privacy Policy explains how your personal information is handled when you use the app.
1. Our Role and Your School’s Role
- Your School is the ‘Data Controller’: They are responsible for the content you see in the app, such as news articles, photo galleries, and letters. They decide what personal data is shared and why.
- Webanywhere Ltd is the ‘Data Processor’: We provide and maintain the technology for the app. We only process your information on behalf of your school and according to their instructions.
If you have any questions about the content in the app or how your personal data is being used, you should always contact your school first.
2. What Information Do We Collect?
The information we collect depends on how your school has set up the app.
If you use the app without logging in (Public Mode):
We do not collect any personal information like your name or email address.
If your school uses private content that requires a login:
- Account Information: We process your name and email address.
- Group Information: Your school may assign you to certain groups (e.g., “Year 2 Parents”) to share specific content with you.
Information we collect automatically from all users:
- Device Token for Notifications: A unique, anonymous ID for your device to enable push notifications.
- Analytics Information: Anonymous data about app usage to help us fix bugs and improve our service.
3. Device Permissions and Functionality
The app may ask for the following permissions to enable certain features you choose to use:
- Access to Storage (Files and Media):
- Why we need it: To allow you to download files, such as PDF newsletters, from the app and save them to your device.
- How it works: The app only saves files to your device when you choose to download them. It does not access your other files.
- Access to Calendar:
- Why we need it: To allow you to add school events directly from the app’s calendar into your personal calendar.
- How it works: The app only adds an event when you explicitly choose to do so. It does not read your existing calendar entries.
You can manage these permissions at any time in your device’s settings.
4. How We Use Your Information
We use your information only to operate the app, provide its features (like downloads and notifications), and ensure its security, all on behalf of your school. We will never use your data for marketing or advertising.
5. Who We Share Your Information With
We share data only with trusted technical partners necessary to make the app work, including for cloud hosting (Amazon Web Services), authentication (Google Firebase), and notifications (Apple & Google).
6. How Long We Keep Your Information
Your account information is kept while your account is active. If your account is deleted or the school stops using our service, your data will be securely removed after a limited period.
7. Your Data Protection Rights
Because your school is the Data Controller, you must contact your school directly to exercise your rights to access, correct, or request the deletion of your information. If you are unhappy with the response, you have the right to complain to the Information Commissioner’s Office (ICO).
